South Norfolk Tree Wardens Network – Legal Policy

1. About Us
The South Norfolk Tree Wardens Network (SNTWN) is a voluntary, non-profit community group. Our aim is to protect, plant, and promote trees across South Norfolk, working with individuals, communities, and partner organisations.

2. Purpose of this Policy
This policy sets out the principles, responsibilities, and expectations for everyone involved in SNTWN activities. It helps ensure our work is safe, lawful, and respectful of people, property, and the environment.

3. Status of the Group
SNTWN is an unincorporated voluntary association. We are not a registered charity or a company, and we do not operate for profit.

4. Volunteer Conduct

Volunteers are expected to treat others with respect, courtesy, and fairness.

Discrimination, harassment, or bullying will not be tolerated.

All activities must be carried out with regard for the safety of volunteers, members of the public, and wildlife and a Risk Assessment is required to work on voluntary projects.

5. Safeguarding

Where activities involve children or vulnerable adults, volunteers must follow appropriate safeguarding measures.

SNTWN does not take legal responsibility for children at events — they must be accompanied by a responsible adult.

6. Health and Safety

Volunteers must follow risk assessments and any safety instructions given by SNTWN coordinators.

Appropriate protective equipment should be worn where necessary (e.g., gloves, sturdy footwear).

Any incidents, accidents, or near-misses must be reported to the Network Coordinator.

7. Environmental Responsibility

All activities should aim to protect and enhance biodiversity.

Waste and disturbance to habitats should be minimised.

8. Data Protection

Personal data will be collected only when necessary for SNTWN purposes and will be stored securely.

Data will not be shared with third parties without consent, except where legally required.

9. Insurance

SNTWN maintains Public Liability Insurance to cover approved activities.

Volunteers are responsible for their own personal belongings during events.

10. Decision Making

Decisions are made collectively by the SNTWN Coordinators and, where appropriate, in consultation with members.

Any disputes will be handled in an open, fair, and respectful manner.

11. Financial Management

All funds raised will be used solely for SNTWN activities and running costs.

Accounts will be kept and made available to members on request.

12. Liability Disclaimer
Participation in SNTWN activities is at the volunteer’s own risk. While we take every reasonable precaution to ensure safety, SNTWN cannot accept liability for any loss, injury, or damage that occurs except where required by law.

13. Review of Policy
This policy will be reviewed annually and updated where necessary.
